1. General Guidelines
Eligibility:
To ensure an inclusive yet organized event, participation in CCPolítica is exclusively open to registered members. This means that all attendees, speakers, and contributors must complete the registration process prior to the event. Registration not only confirms your spot but also grants you access to all sessions, workshops, and networking opportunities during the conference .
Roles:
At CCPolítica , participants can take on various roles depending on their interests, expertise, and contributions. These roles are designed to foster collaboration, knowledge-sharing, and meaningful engagement. Below are the key roles you can consider:
- Convenors: Individuals responsible for organizing and overseeing specific panels or sessions. Convenors play a critical role in shaping the content and flow of discussions.
- Co-convenors: Assist convenors in managing panels, ensuring smooth coordination and execution of session activities.
- Panel Chairs: Act as moderators during sessions, guiding discussions, managing time, and ensuring that all participants have an opportunity to contribute.
- Paper Givers: Presenters who share their research, findings, or insights with the audience through oral presentations or written papers.
- Discussants: Experts who provide thoughtful feedback and analysis on the papers or topics presented during a session.
- Attendees: General participants who attend sessions to learn, network, and engage with the conference content.
By defining these roles, CCPolítica aims to create a structured yet dynamic environment where everyone can contribute meaningfully and benefit from the diverse perspectives shared at the event
2. Panel Organization
Each panel at CCPolítica will adhere to the following structure:
- Duration: Panels will last for durations determined by the Programme Committee to ensure efficient time management and audience engagement.
- Participants per Panel:
- 4–6 Paper Givers: Individuals who present their research or findings during the session.
- 2 Discussants: Experts responsible for providing constructive feedback on the papers presented.
- 1–2 Chairs: Moderators who guide the discussion, manage time, and facilitate audience interaction 2.
Appointment of Convenors
Convenors play a pivotal role in shaping the content and flow of panels. Their responsibilities include soliciting proposals, coordinating with participants, and ensuring the panel aligns with the conference’s goals. Convenors are appointed as follows:
- Main Theme Panels: Appointed by the Programme Committee to address the central themes of the conference.
- Research Committee Panels: Assigned by the respective Research Committee (RC) Chairs to focus on specialized topics.
- Special Panels: Proposed by registered members of CCPolítica to explore unique or emerging issues.
- Local Panels: Organized by the Local Organizing Committee to highlight regional expertise and perspectives.
A co-convenor may also be appointed if additional support is needed to manage the panel effectively.
Proposal Deadlines
All panel proposals must be submitted by the deadlines communicated by the Secretariat and approved by the Programme Committee. These deadlines are designed to allow sufficient time for review, scheduling, and preparation.
Key Objectives for Panels
Each panel should aim to achieve the following objectives:
- Balance and Diversity: Convenors are encouraged to ensure balanced representation among participants in terms of gender, region, age, and career stage. This reflects CCPolítica’s commitment to inclusivity and plurality.
- Audience Engagement: Panels must allocate adequate time for audience questions and discussions, fostering an interactive environment.

3. Responsibilities of Key Roles

Convenors
Convenors are the backbone of panel organization and play a critical role in shaping the content and flow of discussions. Their responsibilities include:

- Communication: Maintaining clear and consistent communication with all panel participants, the Programme Chair, and the Secretariat.
- Designating Roles: Assigning chairs and discussants to ensure smooth moderation and feedback during sessions.
- Promoting Diversity: Striving to create balanced representation among panelists in terms of gender, region, age, and career stage. This reflects CCPolítica’s commitment to inclusivity.
- Encouraging Participation: Allowing opportunities for unsolicited paper submissions to enrich the discussion and foster broader engagement.
- Sharing Information: Distributing participant lists and guidelines to all panel members to ensure everyone is well-prepared.
- Problem Resolution: Informing the Programme Chair of any issues or disputes that arise and deferring to their decisions when necessary.
- Award Recommendations: Suggesting candidates for awards, such as recognition for outstanding papers or contributions from emerging scholars.
Panel Chairs
Panel Chairs are responsible for guiding the session and ensuring it runs smoothly. Their duties include:
- Moderation: Applying standard rules of good chairmanship while adhering to the time allocated for each session.
- Maximizing Discussion: Encouraging active participation from both panelists and the audience to create an engaging environment.
- Time Management: Limiting oral presentations to 10–15 minutes per paper giver, depending on the number of presenters, to ensure all voices are heard.
- Discussant Time: Allocating no more than 30 minutes for discussants to provide feedback.
- Audience Interaction: Allowing time for questions and comments from the audience while managing interventions to prevent disruptions.
- Reporting Changes: Alerting the Secretariat promptly about any last-minute cancellations or changes to the panel lineup.
Paper Givers
Paper Givers are tasked with presenting their research or findings during the session. Their responsibilities include:
- Preparing Papers: Writing a clear and concise paper (maximum 25 pages, single-spaced) in English or French.
- Submitting Abstracts: Providing a 250-word abstract by the specified deadline to ensure inclusion in the programme.
- Uploading Materials: Sharing their paper on the CCPolítica website so it is accessible to attendees in the online paper room.
- Oral Presentation: Delivering their presentation within the allocated time (10–15 minutes) to allow for discussion and audience engagement.
Discussants
Discussants provide valuable feedback on the papers presented during the session. Their duties include:
- Reviewing Papers: Preparing concise reviews of the assigned papers, focusing on strengths, weaknesses, and suggestions for improvement.
- Time Constraints: Limiting their feedback to no more than 5 minutes per paper to ensure all discussants have an opportunity to contribute

To ensure a seamless and inclusive experience for all attendees, CCPolítica has established the following general guidelines. These rules are designed to clarify expectations and promote fairness, professionalism, and active participation throughout the conference.
Attendance Eligibility
All registered participants of CCPolítica are eligible to attend all panels, including main theme panels, research committee panels, and local panels. This ensures that everyone has the opportunity to engage with diverse topics and perspectives.
Registration Requirements
To be included in the conference programme and participate in any capacity, attendees must adhere to the following:
- Registration Deadline: All individuals whose names appear in the programme must complete their registration by the deadline set by the Secretariat.
- Abstract Submission: Paper givers are required to submit a 250-word abstract in either English or Spanish by the specified deadline. Abstracts must align with the thematic scope of the panel and demonstrate clarity, relevance, and originality.
Participation Limits
To maximize inclusivity and allow as many voices as possible to be heard, CCPolítica enforces the following limits on individual participation:
- One Role Per Category: No individual may appear more than once in each of the following roles:
- Chair of a panel.
- Paper giver.
- Discussant.
- For example, a participant may chair one panel, present a paper in another, and serve as a discussant in yet another—but they cannot take on multiple roles within the same category.
- Exceptions: The Programme Chair may grant exceptions for special workshops or supplementary panels, particularly those focusing on regional or emerging topics.
Language Policy
CCPolítica recognizes the importance of linguistic accessibility and has adopted the following language policy:
Oral presentations may also be delivered in either English or Spanish. Participants are encouraged to consider the audience’s linguistic preferences when preparing their presentations

5. Abstract Submission and Review Process
To maintain the academic rigor and quality of CCPolítica, all abstract submissions undergo a thorough and transparent review process. This ensures that only high-quality contributions are selected for presentation, fostering meaningful discussions and knowledge-sharing . Below is an overview of the submission and review process:
Abstract Submission Guidelines
Participants interested in presenting their work at CCPolítica must adhere to the following guidelines:
- Language: Abstracts must be submitted in English or Spanish , ensuring accessibility for all attendees.
- Length: Abstracts should not exceed 250 words and must clearly outline the research objectives, methodology, findings, and relevance to the conference theme.
- Formatting: Submissions must conform to accepted academic norms, including clarity, conciseness, and proper grammar. Poorly written or incomplete submissions may be disqualified during the initial screening.
Review Criteria
Each abstract will be evaluated based on the following criteria:
- Quality of Presentation: Is the abstract clear, concise, and well-written? Can the study aims, methods, and findings be easily understood?
- Research Design: Does the abstract demonstrate a strong research design, including appropriate sampling procedures, reliable measures, and valid analysis?
- Conclusions: Are the conclusions supported by the data? Are they relevant and impactful for the field?
- Originality: Does the abstract present novel ideas, approaches, or methodologies? Does it challenge existing paradigms or contribute new insights to the discipline?
- Impact: Does the research address an important issue? How does it advance scientific knowledge or influence policy and practice?
Double-Blind Peer Review Process
CCPolítica employs a double-blind peer review system to ensure fairness and impartiality. This means that reviewers and authors remain anonymous to each other throughout the process.
- Initial Screening: Upon submission, abstracts are reviewed in-house to ensure they meet basic academic standards and align with the conference’s scope. Incomplete or irrelevant submissions are screened out at this stage.
- Reviewer Assignment: Each abstract that passes the initial screening is assigned to at least two independent reviewers with expertise in the relevant field.
- Grading System: Reviewers evaluate abstracts on a scale of 1 to 5, with the following categories:
- 5 – Excellent: Clear, thought-provoking, and worthy of presentation.
- 4 – Good: Well-written and relevant, with minor areas for improvement.
- 3 – Average: Adequate but may lack clarity or originality.
- 2 – Poor/Borderline Acceptable: Requires significant revisions to be considered.
- 1 – Very Poor: Unoriginal, irrelevant, or poorly written.
Acceptance/Rejection Process
The final decision is based on the combined scores from the reviewers:
- Automatic Acceptance: Abstracts receiving a combined score of 6 or higher (out of 10) are automatically accepted.
- Automatic Rejection: Abstracts receiving a combined score of 2 or lower are automatically rejected.
- Third Reviewer: If there is a discrepancy between the two reviewers’ scores or if the abstract falls into the “Borderline Acceptable” category, a third reviewer is consulted to make the final decision
6. Additional Policies
To ensure a smooth and professional experience for all participants, CCPolítica has established the following additional policies. These guidelines address important aspects of participation, from cancellations to ethical conduct, and are designed to uphold the integrity of the conference .
Language Requirements
All written materials, including abstracts and papers, must be submitted in English or Spanish. This policy ensures that all participants can engage with the content regardless of their primary language. Oral presentations may also be delivered in either language, but presenters are encouraged to consider the linguistic preferences of the audience to maximize accessibility.
Cancellations and Changes
Participants who need to cancel their involvement in a panel or session must notify the Secretariat as soon as possible. Timely communication allows for adjustments to the programme and ensures minimal disruption to other participants. Chairs and convenors are particularly responsible for reporting any last-minute changes to their panels.
Code of Conduct
CCPolítica is committed to fostering a respectful and inclusive environment for all attendees. Participants are expected to adhere to the highest standards of professionalism and courtesy during the conference. Any behavior that disrupts the event or undermines its goals will not be tolerated. This includes, but is not limited to, discriminatory language, harassment, or inappropriate interruptions during sessions.
Paper Submission and Accessibility
Authors whose abstracts are accepted must upload their full papers to the CCPolítica website by the specified deadline. These papers will be made available in the online paper room, allowing attendees to review them before or after the sessions. This practice promotes deeper engagement with the material and enhances the overall quality of discussions.
Special Considerations
In cases where participants face unforeseen challenges, such as technical issues or personal emergencies, CCPolítica will work to provide reasonable accommodations. Participants are encouraged to reach out to the Secretariat for assistance in such situations. Additionally, exceptions to participation limits or other rules may be granted by the Programme Chair for special workshops or regional panels.
These policies are designed to create a structured yet flexible framework for CCPolítica, ensuring that all participants have the opportunity to contribute meaningfully while maintaining the conference’s high standards.
